A staff member recently asked: "We love the new updates to the software…one question though…how do we add in points for something that is not on our current ways to earn (promotions) list? Sometimes we give kids points for doing something outside the box."
That’s a great question that everyone will eventually have! On our new system, adding ways to earn (promotions) is just as easy as editing them.
Step 1: While you're logged into the staff portal, click on the "Settings" tab on the left sidebar navigation.
Step 2: From the options, choose “Awarding Points”.
Step 3: From the new screen, click on “Edit” for “Practice Promotions” option.
Step 4: A new page with a list of ways for patients to earn points will appear. We call these “promotions”.
Step 5: If you want to add a brand new ways to earn(promotion) to your list, click on the blue button at the top right called "Add Promotions”. Fill in all the details and click on “Submit” button.
*Default ways to earn(promotions) have been prefilled for your convenience. You can edit the default ways to earn or add your own custom ways to earn.The ways to earn(promotions) marked as active will be shown on the patient’s award points screen.
Step 6: From this page you also have the option to:
Edit the points value , *frequency and/or promotion name.
Delete a promotion you have created
Mark a promotion as ‘Active/Inactive’
The promotion will still exist but will not show up on a patient’s award points screen when recording points.
*Frequency: Frequency is the number of days after which the promotion will be available on a patient’s account again after recording it. Once the promotion is awarded to the patient, the promotion will no longer be available to record for the set number of frequency days.
Example: A 'Dental Check Up' can only be awarded twice a year; the frequency should be to 180 days.
Ways to earn(promotion) with frequency 0 will be available on the patient’s account all year round.
*Patient portal status: You can choose which ways to earn(practice promotions) the patient will see on the patient portal. Just toggle the “Patient Portal Status” to active.
*Is Note required?: If this is active, then the particular ways to earn will have the ‘add note’ feature available on the patient’s dashboard. This will let you give a promotion award and add a note with it which can be seen in the activity history for later reference.
Remember: When you add/remove/edit a live promotion from this screen it will automatically show up on the rewards site. You will need to update any printed material you have around the office. On the same note, if you make any adjustments to office material, remember to update it in your “Ways To Earn” editor so it reflects them.
Tip: If you'd like to add points manually (without having to add/remove/or edit a live promotion) for a more temporary or unique occasion, you can always fill in a manual amount in the “Record Manual Points” field on the patient’s award points screen.
